The best management system is the one that works:

6 guiding principles to clarify in a strong implementation strategy

Daily operations can easily create tunnel vision, making it difficult to see clearly what the ideal management system should look like.

It doesn’t help that employees may already be struggling with existing IT solutions and thinking, “Oh no — not another new system!”

We address both challenges here.

You’ll get six concrete recommendations on how to stay firmly in control of your implementation — based on the perspectives we use in the IPW Implementation Program, where participants lay the foundation for their new system.

Six guiding principles to clarify
when defining your implementation strategy

The decision to introduce a new management system has been made. Now it’s time to align on key strategic considerations — so you don’t overload your new system with unnecessary functionality that adds complexity without adding value:

1# What tasks should the system solve?
Focus on what matters. Remove everything else.

2# When is the system considered a success?

3# What frameworks, resources, and deadlines are fixed — and what can be adjusted?

4# Who will use the system, for what purpose, on which hardware (laptop, tablet, mobile), and where (production floor, ship, wind farm, car, office)?

5# Clarify training needs — for Admins, Super Users, and general Users.
Remember: rollout and training are essential for success.

6# Maintenance and further development of the system.
Ongoing system reviews and user training should be planned and acknowledged from the start.

In other words: You need to know why you’re doing this.
What is the purpose? What do you want to achieve? And how?

Six simple questions — though the answers are rarely simple

Two bonus recommendations to move forward faster

You’re introducing new technology into your organization.
New processes. Clearer ownership. Greater transparency.
And of course, you want everyone on board.

That challenge often creates both urgency and uncertainty.

Beyond the six fundamental strategy points that help you move beyond habitual thinking and into the core of the issue, consider these two additional recommendations:

Success starts with shared ownership

One of the most effective ways to ensure a successful implementation — even in smaller organizations — is to involve management, end users, and IT early in the process. This helps clarify expectations and identify potential challenges.

Even the most intelligent system will fail if employees don’t see the short- and long-term benefits or feel that it has been imposed without regard for their needs.

Remember: Collective intelligence can achieve remarkable results.

A management system that evolves with you

Just as important as user involvement is recognizing that a management system is a living system. Your organization and its environment are constantly evolving — and your system should evolve as well.

Plan for ongoing capability development through training, knowledge sharing (e.g., ERFA groups), and onboarding programs, so you can independently operate and further develop the platform we build together.
