Challenge
The document management system we had worked, but it was outdated in relation to our need for online registration and integration with the company’s WMS.
The workflow was to print forms, distribute them to employees, have them filled out — and then a team leader would check the papers, which were then archived. We wanted to eliminate all that paper handling and at the same time save a significant amount of time for employees.
Solution
One of the best decisions during implementation was linking quality and operations.
After three days of implementation, where we learned how to configure the system, we entered procedures and had an operations manager and a team coordinator build the forms. They have close contact with the individual teams and were able to clarify how we could best use IPW.
They also tested, gathered input, and trained each team, so everyone felt the system worked well from the start. Our collaboration with IPW throughout the process has also functioned excellently.
Result
The system is structured correctly. And it works.
The first thing we implemented was electronic visitor registration with scanning at entrance doors, so during fire drills we can see whether everyone — including guests — has exited.
The major task was setting up online registration with forms covering daily, weekly, monthly, quarterly, and annual documentation — including incorporated images. The latter has saved us from several complaints.
We have also set up non-conformities and complaints, and built our own supplier management solution, which employees responsible for annual supplier evaluations have welcomed enthusiastically. What previously took several days can now be done in 10 minutes.
Electronic registration with mandatory fields eliminates the need for subsequent checks.
Using scanners in forms means employees no longer need to go to a desk to complete paperwork.
Supplier management is integrated with WMS, and via BC suppliers from the past 12 months can be accessed.
