Challenge
Our ambition was to implement an accessible management system that brings together all policies, processes, and procedures. Tvilum had an outdated QMS with limited functionality and manual workflows characterized by heavy paper-based processes.
Solution
Initially, we prioritized automating workflows and onboarding as many employees as possible as quickly as possible. After benchmarking the three most critical criteria – module functionality tailored to Tvilum, high usability, and low annual operating costs – we chose IPW.
Today, the system is used broadly across the organization. It supports purchasing, production, buffer storage, chemical approvals, safety, corrective actions, deviations, work environment, internal audits, project management, and employee administration. The entire workflow is automated: processes are controlled, and reminders with status updates and follow-ups are sent automatically to responsible employees.
To ensure adoption, we automated several specialized processes so that production employees were required to use the new forms. At the same time, they quickly saw how much IPW simplified their daily work. We began where it was easiest to gain ambassadors. Once implemented in one area, we trained that employee group before moving on to the next. In this way, the system spread like ripples in the water.
Result
IPW is genuinely easy and intuitive to work with. We designed the front page ourselves and can easily build new forms without assistance from IPW. That flexibility is important – because as soon as we introduced the system, employees began coming forward with ideas: “Can we add this process as well?”
Employees have been heavily involved in building the system, and we continuously make adjustments. Since the first implementation, we’ve continued expanding the less glamorous parts of the procedure catalog – and we do it ourselves.
