Procedures in folders. Deviations and cases in Excel. Maintenance managed in Monday.
Much was handled manually when I was hired, which suited the organization at the time. However, it became clear that we needed a scalable management system that employees could actively use and update themselves across various cases. Otherwise, we risk losing oversight as we grow.
Fortunately, our management supported investing in IPW, which I had experience with from my previous workplace, where I led a comprehensive restructuring of the system.
Solution
I set up the system myself based on the form templates and then expanded it — in collaboration with our departments and employees — with the fields and tools we felt were missing.
The system drives all aspects of our workflow and is structured according to ISO 9001. Each time a document is created, the relevant clauses in the standard must be specified. This makes audit planning extremely easy.
Another feature is that we extract data from the system via Power BI instead of presenting it in Excel.
Result
We went live very quickly, and all initiatives have been well received by management, employees, and customers alike.
There are still things we can make easier for ourselves, and Pernille, our Customer Success Manager at IPW, follows up continuously to ensure we stay on track. It is noticeable that they genuinely want you to succeed.
That said, once you familiarize yourself with the system and make use of webinars and the many videos on the support site, it is extremely easy and highly intuitive.
Front page with task overview of open actions, news, and quick links. Clear overview of ISO 9001 requirements where documentation is still missing.
Production workflows with dedicated templates for each product. Tool and machine maintenance, competence management via matrix, and supplier lists with rating.
